Getting Started

How do I create my first quote?

Creating a quote is simple:

  1. Navigate to Quotes in the sidebar
  2. Click + New Quote
  3. Select or create a customer
  4. Add line items (parts from inventory or custom items)
  5. Add labor hours and rates
  6. Tax is calculated automatically
  7. Preview PDF, then Send or Save as Draft

Tip: Save common jobs as templates to create quotes in under 2 minutes!

How do I invite team members?

To add team members:

  1. Go to Settings → Team
  2. Click Invite User
  3. Enter their email address
  4. Select role: Owner, Manager, Worker, or Viewer
  5. They'll receive an email invitation

Note: Only Business Owners can invite new team members.

How do I customize my invoice template?

Customize your invoices:

  1. Go to Settings → Business Settings
  2. Scroll to Invoice Template
  3. Upload your logo (recommended: 300x100px PNG)
  4. Add custom footer text (payment terms, bank details, etc.)
  5. Choose color scheme
  6. Preview changes before saving

Quotes & Invoices

How do I convert a quote to a job?

When a customer accepts your quote:

  1. Open the quote
  2. Click Convert to Job
  3. Set the scheduled date
  4. All quote details (customer, items, pricing) carry over automatically
  5. Job appears on your calendar

No re-entering data. Quote → Job → Invoice in seconds.

How does tax calculation work?

Tax is calculated automatically based on your business location:

  • Australia: 10% GST
  • New Zealand: 15% GST

You can override tax rates per invoice if needed.

Can I accept part payments on invoices?

Yes! JobbTrakr supports partial payments:

  1. Create invoice as normal
  2. When customer pays, click Record Payment
  3. Enter amount received (can be less than total)
  4. Invoice status becomes Part Paid
  5. Remaining balance shows clearly
  6. Repeat until fully paid

Scheduling

How do I set up recurring jobs?

Perfect for maintenance contracts:

  1. Create a job as normal
  2. Click Make Recurring
  3. Choose frequency: Weekly, Fortnightly, Monthly, Quarterly, Yearly
  4. Set start date and optional end date
  5. Jobs auto-generate on your calendar

Great for pool servicing, HVAC maintenance, lawn mowing contracts!

How do I reschedule a job?

Super simple with drag & drop:

  1. Open Calendar view
  2. Click and drag the job to a new date
  3. Job automatically reschedules
  4. Customer gets notification (if enabled)

Or click the job → Edit → Change date manually.

Can I block out unavailable dates?

Yes! For holidays or personal time:

  1. Go to Calendar
  2. Click Add Unavailable Date
  3. Select date range
  4. Add reason (optional)
  5. Those dates appear blocked on calendar
  6. System won't let you schedule jobs on blocked dates

Mobile App

How do I install the mobile app?

iPhone/iPad:

  1. Open app.jobbtrakr.app in Safari
  2. Tap the Share button (square with arrow)
  3. Scroll down and tap "Add to Home Screen"
  4. Tap "Add" in the top right

Android:

  1. Open app.jobbtrakr.app in Chrome
  2. Tap the menu (three dots)
  3. Tap "Add to Home screen"
  4. Tap "Install" or "Add"

The app icon appears on your home screen like a native app!

Does the app work offline?

Yes! JobbTrakr works in offline mode:

  • View existing jobs, customers, and quotes
  • Add notes and update job status
  • Take photos and attach to jobs
  • Changes sync automatically when back online

You can't create NEW customers/jobs offline, but can update existing ones.
